Operations Coordinator

Reporting to the Head of Operations, this role works closely with the programming teams to manage day-to-day operations, coordinate timelines, track budgets, and maintain tools that enable impact-driven work.

The successful candidate will be responsible for coordinating the organisation’s events and programs through effective logistics, systems coordination, and administrative support.

This position plays a hands-on role in bringing structure to creativity, ensuring that systems and processes support—not hinder—the delivery of transformative experiences. The ideal candidate will thrive in collaborative environments, excel in detail-oriented execution, and is driven by a desire to make good things happen behind the scenes.

Core Responsibilities

  1. Program Support & Coordination

  • Support the planning and implementation of program activities and events by managing timelines, calendars, travel and logistics.

  • Liaise with internal teams and external partners to ensure smooth coordination of program-related tasks.

  • Support contracting, onboarding, and coordination of vendors, facilitators,

    and freelancers.

  1. Budget & Financial Administration

  • Assist in tracking program budgets and expenses, flagging variances and ensuring proper coding and documentation.

  • Process invoices, expense claims, and purchase orders related to program delivery in coordination with the finance team.

  • Support the Head of Operations with administration and compliance.

  1. Systems, Tools & Documentation

  • Maintain accurate, organized and up-to-date program documentation, including invoices, contracts, project plans, and shared folders.

  • Use project management and collaboration tools (e.g., Asana, Google Workspace, Microsoft 365) to manage workflows and timelines.

  • Ensure internal systems are accurate, up-to-date, and accessible to relevant staff.

  1. Facilities Support

  • Maintains SA office infrastructure, equipment and supplies.

  • Troubleshooting equipment problems and monitoring contracts, acts as a main contact with IT and Facilities partners.

  • Overseeing office maintenance and repairs, ensuring a clean and safe work

    environment.

  • Handle clerical tasks like answering phones, responding to emails, preparing

    documents, and managing filing systems.

  1. Internal Communication & Team Coordination

  • Act as a point of contact for program team operations queries.

  • Ensure teams are kept informed of timelines, responsibilities, and updates.

  • Facilitate smooth collaboration between programs and operations teams.

  • Apply inclusive practices when coordinating events, working with partners, and managing processes.

Required Skills

  • 3+ years of experience in program coordination, operations, or administrative support, preferably in the nonprofit or creative/social impact sector.

  • Proficiency with Google Workspace and/or Microsoft Office Suite.

  • Experience with project management and collaboration tools (e.g., Asana, Monday.com, Trello, Slack).

  • Basic knowledge of budget tracking using Excel or Google Sheets.

  • High attention to detail and accuracy in managing tasks, timelines, and documentation.

  • Strong written and verbal communication skills.

  • Ability to work independently and as part of a team.

  • Problem-solving mindset with a proactive, can-do attitude.

  • Commitment to the mission and values of the organization, particularly around equity, creativity, and collaboration.

  • Enthusiasm for enabling others to do their best work through strong support systems.

  • Comfortable working in a dynamic, culturally engaged, and purpose-driven environment.

  • Familiarity with data protection practices and safeguarding protocols.

  • Training or coursework in project coordination, nonprofit operations, or event management.

Desirable Skills

  • Proven experience supporting project or program delivery in a fast-paced, collaborative environment.

  • Strong organizational skills with experience managing multiple deadlines, calendars, and deliverables.

  • Familiarity with budget monitoring and financial administration tasks.
