Fellowship Program Manager

Reporting to the Head of Fellowship, the Fellowship Program Manager will work to ensure the fellowship runs smoothly, inclusively, and in rhythm with the organisation’s tone and values.

The successful candidate will be at the heartbeat of the organisation’s flagship fellowship program — bringing care, coordination, and clarity to every stage of the experience. From materials production and enabling program delivery to fellow communications and facilitator coordination, the Fellowship Program Manager will be the behind-the-scenes force that ensures every moment of the program is thoughtfully delivered.

The ideal candidate will manage the systems and touchpoints that support both the cohort and the team—translating vision into seamless delivery and helping to create the kind of environment where growth and connection can thrive. They love bringing structure to creativity, excel at multitasking with empathy, and believe deeply in the power of transformative programming.

Anticipated starting date is 1 July 2026. Ability to conduct extensive hours of work at a computer with reasonable accommodations is required.

Core Responsibilities

  1. Program Coordination & Logistics
  • Lead all logistical planning and execution for fellowship activities, including onboarding, cohort gatherings, virtual sessions, and alumni events

  • Manage calendars, schedules, session materials, tech platforms (e.g., Zoom, Asana), and communications to ensure smooth delivery

  • Work with Operations Coordinator to arrange travel, venue bookings, and accessibility needs for in-person events where applicable.

  1. Fellow Support & Relationship Management
  • Serve as a key point of contact for fellows throughout their journey, supporting their engagement, responding to queries, and ensuring access to resources and updates

  • Track fellow progress and participation using internal systems and feedback loops

  • Create a warm, inclusive, and responsive presence that reflects the values of the organisation.

  1. Managing Curriculum Planning & Program Delivery
  • Collaborate in the development of high-quality programming, and participate in facilitation of learning sessions

  • Execute materials development by preparing and sharing session briefs, logistics guides, and evaluation forms with contributors, and following editorial practices and precision

  • Support the recruitment, onboarding, and scheduling of facilitators, mentors, and guest speakers and other experts

  • Manage the delivery of leadership supports to participants

  • Participate in global Community of Practice groups related to programme design and delivery

  • Ensure smooth communication and follow-through with all external collaborators.

  1. Managing the Implementation of Selection Processes
  • Identify organisational networks and potential applicants for outreach and recruitment

  • Serve as a primary contact for programme enquiries from applicants

  • Manage communications with candidates during the stages of the admissions process.

  • Review applications and participate in the interview process

  • Administer the application system via Salesforce

  • Oversee record management and production of materials

  • Track and make recommendations to improve screening and application processes.

  1. Systems & Evaluation Management
  • Maintain internal tools for tracking fellowship data, including participation records, scheduling systems, and evaluation forms

  • Support the Head of Fellowshipn gathering feedback, organizing survey data, and preparing reports on fellowship impact

  • Recommend and implement improvements to program systems and documentation processes.

Required Skills

  • 3–5 years of experience in program coordination, events management, education, or nonprofit operations

  • Exceptional organisational skills with the ability to manage multiple moving parts and meet deadlines under pressure

  • Experience managing logistics for programs, events, or community initiatives—especially those that involve diverse stakeholders

  • Strong interpersonal communication skills with a deep commitment to equity, care, and responsiveness

  • Comfort with digital tools such as Zoom, Google Workspace, Asana (or similar project management tools), and data entry/CRM systems

  • Alignment with the organization’s mission and commitment to creative, community-rooted leadership development

  • A high level of emotional intelligence, patience, and ability to hold space for people navigating growth, vulnerability, and transition

  • Commitment to behind-the-scenes work that enables transformational experiences for others.

Desirable Skills

  • Experience working in a fellowship, leadership development, or creative learning program

  • Familiarity with trauma-informed practices, inclusive facilitation, or participant-centered learning environments

  • Understanding of safeguarding and data privacy best practices in program delivery

  • Comfort supporting both in-person and remote program formats
