Executive Assistant

Reporting to the Chief Executive Officer (CEO), the Executive Assistant will coordinate information flow, support decision-making, and manage key engagements with key stakeholders. The role also includes planning and coordinating strategic meetings and programme-related activities, ensuring alignment, follow-through, and efficient execution.
This role provides high-level administrative, coordination, and communication support, enabling the CEO to effectively deliver on organisational priorities. The position requires a highly organised, proactive individual with strong communication skills, sound judgment, and the ability to manage multiple priorities in a dynamic environment.
Anticipated starting date is 1 July 2026. Ability to conduct extensive hours of work at a computer with reasonable accommodations is required.
Core Responsibilities
Executive Support and Office Management
Serve as the primary point of contact for the CEO, managing all internal and external communications on their behalf
Screening calls, emails, and meeting requests with sound judgment and discretion
Manage the CEO’s calendar and scheduling, ensuring effective prioritisation and optimal use of time.
Stakeholder Coordination and Engagement
Liaise with senior leadership, partners, and external stakeholders on behalf of the CEO
Coordinate and facilitate Senior Management meetings, Board engagements, and executive interactions
Ensure timely follow-up on key actions and maintain alignment across stakeholders.
Administrative and Strategic Support
Prepare reports, presentations, and briefing documents to support strategic discussions and decision-making
Support the CEO in information management, ensuring accurate and timely flow of critical information.
Travel and Logistics Management
Oversee travel arrangements, itineraries, and logistics for the CEO
Manage expense tracking and reconciliation in line with organisational policies.
Professional Conduct and Confidentiality
Handle sensitive and confidential information with the highest level of professionalism, discretion, and integrity.
Required Skills
Minimum 3 years’ proven experience, supporting a C-suite executive (CEO/MD level preferred)
Exceptional organisational and time management skills
High level of discretion, professionalism, and emotional intelligence
Advanced proficiency in MS Office Suite
Strong written and verbal communication skills to interact effectively with colleagues and external contacts
Accuracy in data entry, document preparation, and record-keeping.
Willingness to take initiative, solve problems, and adapt to changing office needs
Maintaining a professional tone and handling confidential information with discretion when communicating with clients, partners, and internal staff.
